Data comes from different sources and in different formats. The most popular format of data is Excelsheet where users often prefer to copy and paste Excelsheet content in Maximo, preview it and then load it in the most efficient way.

This article is one of a series that demonstrates how data can be easily loaded in Maximo from Excelsheet. Part 1 shows how engineers/planners/buyers can add numerous lines effortlessly in Maximo based on detailed quotes received from suppliers.
While other solutions are available to load Excelsheet data in Maximo, they are either not user friendly requiring special format/processing/troubleshooting or demanding an advanced configuration/customization using a third party software. Seifware Inc. is demonstrating a very simple yet innovative solution to address this requirement.
 

Use Case:

An organization receives a detailed break-down of materials and services based on the planner/engineer’s scope of work. Buyers will often skip such details, summarize them into one or two lines and paste the details in the line’s long description. However, detailed item and service specifications are no longer itemized and the automatic invoice matching process will not work as suppliers will provide the detailed breakdown on the invoice.

  1. Maximo system administrators define the required format, configure the system and add the expected format on the dialog’s help.
  2. End-users prepare the data and paste it in Maximo from excelsheets.
  3. End-users preview data and can repeat step 2 as much as they need, accept or discard data.

Demo:

The following demonstration shows how end-users can copy and paste 30 lines of materials and services from excelsheet into Maximo in matter of seconds. In this example, we configured the system to accept the line type, description, ordered quantity, unit cost, work order and GL Account details.
